Mercantus Timeworks
Municipalities and cities

One system for managing a municipality’s different booking processes.

Mercantus Timeworks brings municipal spaces, sites, resources, services and service channels together in one manageable solution. The same system serves the city’s different departments.

A procurement channel with competitive tendering already completed

Timeworks is available through Velora Verkkokauppa, operated by Atea, under a pre-tendered arrangement. This channel makes it easier to procure the system for organizations covered by the joint procurement agreement.

About Velora Verkkokauppa

Services easily accessible to every target group

The booking service, or online store, makes it easier for residents and stakeholders such as sports clubs to access services. Bookings can be made using search tools, a configurable form, a list, a calendar or a map view. Bookings can be one-off or recurring. The multilingual interface serves residents and other user groups in different languages.

  • Bookings for spaces, pitches, sports equipment, devices and services
  • Receiving and processing applications for sports facility time slots
  • Boat berths, market pitches and sales spaces, allotments and seasonal rentals
  • Membership management, such as gym and boat berth memberships
  • Event registration
  • Suomi.fi authentication and online payments

Versatile booking management

Spaces, equipment, people, services and products can be combined in a single booking. User roles define the views available to different departments, municipal employees, clubs and service providers. Administrators centrally manage permissions, pricing, booking terms and customer information.

Reporting and monitoring

The system generates reports on matters such as utilization, invoicing, catering and actual bookings to support decision-making. The most common reports are available in HTML, Excel or CSV format.

When does Timeworks deliver the most value?

Timeworks is designed for environments where bookings involve multiple resources, services, user groups or systems. It is particularly well suited to organizations whose booking processes require shared rules, permissions, automation and reporting.

If you only need simple appointment booking for one resource, without services, permissions or integrations, a lightweight booking calendar may be sufficient. We can discuss whether a broader solution would offer you corresponding benefits.

From application to active bookings

Time slot applications and processing

Timeworks brings sports facility time slot applications, scheduling and booking creation into one process. Recurring seasonal slots and open applications for one-off or recurring times are managed in one system.

  1. Apply for time slots

Clubs, associations, businesses and residents submit their preferred times through an online application.

  2. Process and plan

Administrators compare applications, resolve conflicts and draft the time slots to be allocated.

  3. Create bookings

Booking details are finalized, and the allocated time slots become active bookings.

Where necessary, applicants can preview and accept the allocated time slots before the bookings are activated. At this stage, they can add information, divide times between teams, for example, and accept the allocation in full or in part, or decline it.

The applicant can optionally preview and accept the time slots. The administrator finalizes the application, activating the bookings. An application can also be rejected.
